Library Procedure Handbook

Opening Procedures

  1. Lights:
    1. Turn on main lights (all switches)
    2. Twisted 2 Desk lights (one on desk; the other near front door)
    3. Twisted 2 floor lamps, step on floor button (one in corner by Study Pod 2; the other in front of window by testing)
  2. Open backroom door (key is attached to the side of the file cabinet nearest the door).
  3. Turn on the TV Monitor
  4. Check book-drops near each entrance for items returned overnight – keys are in the cash box drawer in the back room. (The key labeled “bookdrop” is for the one closest to HR/Fin Svcs, the other two shiny keys with the pine tree on them are forthe black bookdrop near Trio.)
  5. Check outdoor book drop (across the bridge by the shuttle stop). Bring the rolling cart if you suspect there will be a lot of items.
  6. Open doors – use the hex key for the doors facing L4, only unlock the bar using the hex key; do not prop door(s) open or unlock the handles. For the door facing the student lounge, push doors open to prop
  7. Log in to the Library Chat by clicking here: https://libraryh3lp.com/webclient/client
  8. Turn on Hunt Group button on phone
  9. Open the library email
  10. Open Teams to see any updates

Closing Procedures

  1. 5 minutes to close: Check study rooms and library for students and notify any patrons that we will be closing in 5 minutes. (Students can relocate to the Computer Lab if they need more time and Staff can go to their office or the recording studio).
  2. Close Doors: Entrance door near Trio office/Student Lounge:
    • Check to be sure the outside handles are locked; if not locked, use door key to lock from outside
    • Check to be sure the bar locks on the inside of the doors are locked (they will be in the “out” position when locked); this uses the same key as the lock.
    • Pull both doors closed and push to make sure they have latched
  3. Close Doors: Entrance door near HR/Finance office:
    • Check to be sure the outside handles are locked; if not locked, use door key to lock from outside
    • Check to be sure the bar locks on the inside of the doors (they will be in the “out” position when locked) (use the hex key that is on the same key ring as the door key that is attached to the side of the file cabinet near the backroom door/ 4 hour shelf)
  4. Turn off Library TV
  5. Take any laptops, tablets or expensive equipment that may be sitting out at the workstations in the backroom to be locked up.
  6. Close the door to the back room and be sure it’s locked; use key if needed (same key used for Entrance door near Finance/L4)
  7. Shut off all switches on the bank of 12 switches except for those labelled “IT”.
  8. Shelve all books that are on the “To be shelved” shelf
  9. Push chairs in; tidy up any major messes (Custodial staff cleans the computer lab at night)
  10. Check computers for flash drives left behind à check files for owner and email to let them know it has been found, then place in lost & found box on top of mini fridge in back room
  11. Clean up student work area:
    • load staplers,
    • refill tape dispensers,
    • empty paper punch and pencil sharpener,
    • add paper to printer, etc.
